How to structure an event debrief pack

The sections a post-event debrief pack needs, and the difference between a hot debrief and the formal one.

Two documents, not one. The hot debrief is captured while the site is still standing; the formal pack is written from the record afterwards.

Hot debrief, within the hour

  • What went wrong and where, from the people who were there.
  • Anything that nearly happened and did not.
  • What would have to change to run this again next week.

Formal pack

  • Event summary: attendance, times, weather, notable variations.
  • Incident summary by category and priority, with rates per thousand attendees.
  • Check compliance: rounds due, completed, missed, and what followed.
  • Ejections and refusals, with welfare outcomes.
  • Medical and welfare figures with referrals.
  • Staffing delivered against planned.
  • Decisions taken, and the lessons with an owner and a date against each.

Lessons without owners are decoration

Every lesson carries a named owner and a date. A lessons list that repeats last year's list, word for word, is the most common finding in event debriefs.
