What a licensing officer asks for after an event

The plain list of records a UK licensing officer requests after an event, so nothing is reconstructed a fortnight later.

None of this is unusual, and none of it should be difficult. It becomes difficult when the records were never kept in a form anyone can hand over.

The list

  • The incident log for the licensable period, in time order, showing when entries were made.
  • Evidence the checks the licence required were carried out, and what happened when one failed.
  • Ejection and refusal records, with the welfare assessment attached.
  • Casualty numbers and the referrals made.
  • Capacity figures across the event and the point at which any threshold was reached.
  • Decisions taken, by whom, and on what information — particularly anything that varied the plan.
  • Staffing actually on site against what was planned.

Why speed matters

If you can produce these in an afternoon, the conversation is short and about the event. If it takes two weeks, the delay itself becomes the subject, and the next licence review starts from a worse place.
