Event control software
The log that holds up afterwards
Every incident, radio check and routine check logged as it happens, timestamped and append-only. Built for UK festivals, concerts and public events, and for the debrief that follows.
No card required. Set up an event in ten minutes.
What goes wrong
01
The log gets written afterwards
When it's busy, entries get scribbled on a pad and typed up later. Times drift, detail goes missing, and the record becomes a reconstruction.
02
Nobody can prove the checks happened
Toilet checks, capacity counts and seating sweeps get done and never recorded. When someone asks for evidence, there isn't any.
03
The debrief takes a week
A licensing return assembled from a notebook, a spreadsheet and three people's memories, a fortnight after the event.
What it does
Running log
Log an incident in seconds and get a sequential reference you can call over the radio. Append-only at the database level, so nothing can be quietly edited later — corrections are signed, timed amendments and the sequence never breaks.
Radio checks
A roll call at event start and at every shift change, confirming everyone who should have a radio has one, it works, and they're on the right channel. Pulled from the roster, so it only asks about people actually on shift.
Routine checks, on your intervals
Build the checks your event needs and set the interval on each — toilets every thirty minutes, accessible toilets every thirty, staff welfare hourly, seating areas hourly, or whatever the licence says. Each check has its own questions, and each question has its own failure priority.
Registers that report
Lost property, ejections and casualties kept as proper registers rather than buried in a log, so they can be reported on rather than dug out afterwards.
Decision log
What was decided, by whom, and why. The record that answers the question a running log can't.
Two-screen control room
A live wall on one monitor and the entry form on the other. Works perfectly well on one.
Works offline
Site wifi drops. The log doesn't. Entries queue on the device and sync when the connection returns.
Handover and debrief
A shift handover that both controllers sign, and a debrief pack with the figures, the charts and the full log — generated, not assembled.
A shift, end to end
Built for UK events
Set up the way the paperwork expects
- 24-hour clock and UK date formats throughout.
- Licence conditions, capacity limits and staffing minimums configured per event.
- Wind thresholds set per structure from the supplier's own plan.
- Exports built for a licensing return.
- Data retention you control, and an export of everything at any time.
In development
Control Room is the first of several.
We're building outward from the control room — the same log, the same records, extended into how the work gets planned and evidenced.
Vantra Workforce
Rotas, shift offers, sign-in and timesheets, with SIA licence and qualification tracking that blocks an expired badge before it reaches a gate.
Vantra Compliance
Every policy, certificate, risk assessment and training record in one place, with the evidence pack for an ACS assessment generated rather than assembled.
Tell us which would help most and we'll bring you in early.
