Almost every company tracks expiry. The failures come from tracking it in a place that is not consulted at the moment of assignment.
Three dates, not one
- Licence expiry — the obvious one.
- Expiry relative to the shift — a licence valid today but expiring mid-event is a problem tonight, not next month.
- Qualification and training expiry — first aid, fire marshal, spotter, whatever the role requires.
Where the check has to live
At the point a person is assigned to a shift, and again at sign-in. A weekly report is useful for planning and useless at 17:50 when someone is being moved to cover a gate.
Escalation, not exception
Decide in advance who can authorise a deployment despite a flag, record that authorisation against the shift, and review those authorisations after the event. Silent overrides are how ACS findings happen.

Or see it running
Vantra Control Room does all of this as a by-product of the shift, rather than as a document written afterwards.
